Job Description

The primary objective of the Senior Share Administration Officer is to oversee and manage all shareholder-related operations, ensuring accurate share registration, share selling , compliance with regulatory frameworks, and timely dividend distribution. The role aims to maintain transparent communication with shareholders, uphold effective record-keeping practices, and support the Bank’s growth by streamlining capital collection, optimizing share transactions, and contributing to the Bank’s operational.

Key Job Duties & Key Responsibilities:

  • Maintain proper recording of share transactions, share registration book and custody of all shareholder documents, including share certificates and other information.

  • Prepare draft for share certificates, check their accuracy after they are produced and deliver to the appropriate shareholders 

  • Transfer shares in accordance with the provisions of the share administration procedure of the Bank and the law of the country.

  • Originate transaction entries and vouchers and countersign on vouchers for share transfer, dividend payment, tax schedules, share selling, and other transactions.

  • Receive shareholder requests and provide appropriate responses.

  • Prepare a share allocation schedule for selling additional shares.

  • Follow up on the collection of subscribed capital and communicate with shareholders to ensure that what have been subscribed is paid for.

  • Originate the opening of the subsidiary capital and dividend payable ledger account for each shareholder of the Bank. 

  • Block shares held as collateral due to court cases and keep proper records related to blocking.

  • Communicate with each shareholder through telephone whose document is not complete and Diaspora's.

  • Collect bank advice from all banks and update shareholder records based on the bank statement accordingly.

Job Requirements

  • BA Degree in Economics, Management, Accounting & Finance, or other business-related fields..

  • Experience: With 4/6 years of banking experience, of which 2 Years in the banking sector. Experience with Interest-Free Banking (IFB) institutions will be considered an added advantage.
