Job Description
The role of the Finance and Logistics Assistant is to support the Amhara Program in achieving its objectives through secretarial services, office management, and cash handling, aligned with the country strategy and program guidelines. Additionally, he/she assist with procurement activities—including obtaining quotations, visiting suppliers, monitoring prices, and following up on contracts—to ensure efficient logistics support for the program.
Transportation and Logistics Management
Review and compare transportation costs from different vendors
Manage vehicle movement arrangements and maintain vehicle records (fuel, maintenance, types)
Warehouse and Inventory
Receive, unload, label, and store stock products
Perform inventory controls, keep quality standards high, and conduct year-end inventory
Procurement and Property Maintenance
Obtain RFQs and submit to appropriate departments
Send procurement reports on time
Organize property maintenance and ensure proper use of office facilities and materials
Financial Management
Keep financial, purchase, and property documents
Handle petty cash and authorized payments
Prepare payroll and effect approved payments
Record transactions systematically and prepare financial reports (monthly, quarterly, yearly)
Ensure compliance with ZOA financial guidelines
Office Administration and Support
Maintain filing systems, correspondence, and personnel records (leave and medical)
Manage office supplies and ensure safety, cleanliness, and proper use of facilities
Handle communication (telephone, emails)
Supervise day-to-day activities of cleaners and guards, review staff performance
Support visitors and assist peers with meetings and training
Perform additional duties as assigned by the Line Manager
Compliance and Standards
Follow quality service standards and adhere to ZOA rules and regulations
Educational Qualification and Experience:
Diploma/Degree in Logistics/Supplies Management, Accounting and Finance, Business management/Administration and/or related fields
A minimum of 2 years’ experience in similar post
Proficiency in inventory software, as well as Microsoft Word, Excel, Outlook
Strong organizational skills
