Job Description
Managing communication: Answering phone calls, responding to emails, handling correspondence, and serving as a point of contact for clients and visitors.
Scheduling and calendar management: Organizing appointments, meetings, and travel arrangements for colleagues or executives.
Document preparation and filing: Creating, typing, and distributing reports, memos, letters, and maintaining organized physical and digital filing systems to ensure easy access to information.
Meeting support: Booking meeting rooms, setting up conference calls, taking minutes, and distributing meeting summaries.
Office administration: Ordering and maintaining office supplies, managing databases and client files, documenting expenses, and performing routine bookkeeping tasks.
Customer service: Greeting visitors, directing them appropriately, and sometimes resolving client inquiries.
Additional tasks: Implementing office procedures, assisting with presentations and reports, and occasionally supervising junior staff in larger settings.
