Position - Building Administrator

Location: Addis Ababa (Kilinto)

 Employment Type: Full time

Job Summary

  •   Building Administrators are responsible for the overseeing the day-to-day operations of commercial and residential building. To ensure that the properties are well maintained and safe for use. 

Duties and Responsibilities:

  • Coordinating and overseeing regular building maintenance and repairs.

  • Check and monitor the physical condition, general upkeep and cleanliness of the building. Its surroundings and its facilities.

  • Managing and directing cleaning and security staff and activities.

  • Preparing and carrying out emergency protocols and procedures.

  • Maintaining a safe environment for building occupants and visitors.

  • Preparing and managing/monitoring repair and maintenance related budgets.

  • Negotiating and liaising with third party service providers.

  • Conducting regular building inspections and preparing reports.

  • Contracting and supervising repairs and maintenance work.

  • Ensuring facilities are in compliance with applicable policies, regulations, and building codes.

  • Attracting new tenants through advertising, property viewings, and encouraging referrals.

  • Interviewing tenants and understanding their needs. 

  • Addressing tenant complaints and inspecting vacated units.

  • Setting rental rates, negotiating and enforcing lease agreements.

  • Collecting rent, dealing with late payments, and handling operating expenses.

  • Maintaining records of income, expenses, signed leases, complaints, maintenance, etc.

  • Preparing reports on the financial performance of properties.

  • Terminating leases and initiating eviction proceedings.

  • Responding to inquiries and requests by building tenants and resolving any problems or issues.

  • Discuss with tenants experiences, successes and challenges and bring issues for discussions

  • Prepare and follow up to communicate building-related emergency preparedness procedures to building occupants.

  • ·Maintain continuous communication on all building related issues to create and continually provide updates to all occupants and to assure proper dissemination of pertinent information.  This includes utility shutdowns and disruption of services (planned or unplanned).

  • Maintain awareness of building related problems and communicate with the appropriate department for correction of those problems.

  • Identify, collect and relay suggestions to conserve energy or prevent waste of resources increase awareness and implementation of Environmental and Occupational Health and Safety 

  • Review all building related crime and incident reports

  • Initiate remedial action resulting from regulatory audits

  • Prepare weekly, monthly, yearly report

  • Perform any other duties as required

Job Requirements

  • Bachelor's degree in Business Management or related field

  • Minimum of 6 years’ experience

  • Demonstrated strong leadership, communication skill are essential

  • Good in Microsoft applications including Word, Excel and Outlook.

  • Initiative in problem solving
