Our prominent holding company is seeking a highly skilled and experienced Holding Senior Secretary to join our team.

In this pivotal role, you'll be instrumental in ensuring the smooth and efficient operation of the Office of the DCEO, Holding Resources and Services. You'll leverage your expertise to manage complex schedules, handle confidential information with discretion, and provide comprehensive administrative and secretarial support that keeps our executive team at the forefront.

Duties & Responsibilities:

  • Executive Support: Provide high-level secretarial and administrative support to the DCEO, Holding Resources and Services, and other assigned work units, acting as a central point of contact for administrative matters.

  • Office Management: Take full ownership of office management duties, including organizing and coordinating meetings, managing correspondence, and overseeing the overall affairs of the office with precision and efficiency.

  • Information Management: Expertly manage and maintain confidential documents, records, and files, ensuring accuracy, accessibility, and compliance with company policies. This includes indexing, filing, scanning, and compiling reports.

  • Communication Hub: Facilitate seamless communication by drafting and proofreading a variety of routine letters and correspondences, registering incoming and outgoing documents, and transmitting messages and instructions accurately.

  • Resource Stewardship: Oversee the proper operation and care of office equipment (faxing, word processing, printing, reproducing, computing) and manage office facilities and stationery with diligence and economy.

  • Proactive Assistance: Anticipate needs and proactively handle a range of clerical duties to ensure the DCEO and assigned units can focus on strategic initiatives.

  • Perform other related duties as directed by the immediate supervisor 

Job Requirements

  • Education:

    • A first degree from a recognized university/college in Management, Business Administration, Human Resource Management, or Office Services Management, plus a Level IV (10+3) Diploma in Secretarial Science & Office Management or Computer Science, with 4 years of relevant work experience in secretarial work and office management.

                                       OR

    • A Level IV (10+3) Diploma from a recognized college/TVET in Secretarial Science and Office Management or Computer Science, with 8 years of related work experience, including at least 3 years in an Executive Secretary or Senior Secretary position.

  • Skills & Attributes:

    • Exceptional organizational and time management skills with the ability to multitask and prioritize effectively in a fast-paced environment.

    • Proven ability to handle confidential information with the utmost discretion and professionalism.

    • Strong written and verbal communication skills, with excellent grammar and proofreading abilities.

    • Proficiency in modern office software and equipment, including word processing, spreadsheets, presentations, and communication tools.

    • A proactive and resourceful approach to problem-solving.

    • High attention to detail and accuracy.
