Position Title: Personal Assistant to CEO / Office Manager – CEO Office
Location: Juba, South Sudan
Reporting To: Chief Executive Officer
Employment Type: Full-Time (Executive Support Level)
We are is seeking an experienced and highly trusted Personal Assistant (PA) to the CEO / Office Manager for the CEO Office to provide executive-level support, coordination, and confidential administrative oversight. This role requires exceptional organizational, communication, and leadership skills to manage the CEO’s office with discretion and efficiency.
The ideal candidate will have 10+ years of experience supporting senior executives, particularly CEOs, and possess proven capabilities in executive correspondence, calendar control, office administration, travel logistics, and internal coordination across departments.
Manage and organize the CEO’s schedule, meetings, appointments, and communications
Coordinate official correspondence, presentations, and strategic documentation for internal and external stakeholders
Maintain confidentiality in sensitive matters including board communications and company strategies
Oversee CEO office operations including filing, reporting, and guest protocol
Liaise between CEO and management teams to ensure timely decision-making and follow-up
Support coordination of business travel, visa processing, logistics, and protocol arrangements
Monitor administrative systems and recommend office improvements where necessary
Supervise support staff assigned to CEO office (e.g. drivers, receptionists, messengers)
Assist in managing CEO’s office budget, petty cash, and procurement requests
Organize executive workshops, retreats, and corporate events linked to the CEO’s mandate
Qualifications
Bachelor’s or Master’s degree in Business Administration, Management, or related field
Minimum of 10 years working experience as Personal Assistant to CEO or senior executive management
Proven ability to work independently with sound judgment and high integrity
Excellent verbal and written communication skills in English
Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint) and business communication platforms
Strong attention to detail and ability to multitask in high-pressure settings
Discretion and loyalty in handling confidential matters
Previous experience in a construction, engineering, or infrastructure firm is a distinct advantage
Strong interpersonal skills and ability to interact with high-level officials
