Pharo Foundation is seeking responsible, compassionate, and highly organized Proctors to oversee student life and welfare at Pharo Homosha Girls’ Boarding School. As a live-in staff member or someone working in rotational shifts, the Proctor ensures that the boarding environment is safe, structured, supportive, and nurturing for adolescent girls. This role is central to maintaining student discipline, encouraging positive behavior, and fostering a sense of belonging and accountability within the boarding school community.

Key Responsibilities

Below are the comprehensive duties expected of a boarding school proctor:

Student Welfare and Supervision

  • Supervise students during non-instructional hours (mornings, evenings, weekends, and holidays).

  • Be available overnight to respond to any student emergencies or concerns.

  • Monitor and support students' physical, emotional, and social well-being.

  • Observe students for signs of distress, illness, or behavioral issues and report them to the appropriate staff.

Safety and Security

  • Ensure dormitory gates are locked and unlocked at scheduled times.

  • Conduct regular room checks, roll calls, and headcounts.

  • Monitor visitor access and ensure safety protocols are followed.

  • Report facility and safety issues (e.g., broken locks, power outages) to maintenance.

  • Enforce rules regarding movement within and outside the school compound.

  • Conduct bag and room inspections, when necessary, as per school policy.

Discipline and Behavior Management

  • Model and reinforce respectful, disciplined, and responsible behavior.

  • Enforce school rules consistently and fairly.

  • Mediate minor student conflicts and escalate serious incidents as needed.

  • Submit written reports for disciplinary actions or incidents.

Daily Routines and Schedules

  • Ensure adherence to daily routines, including wake-up, hygiene, meals, study time, and lights-out.

  • Support smooth transitions between school, meals, dorm, and activities.

  • Coordinate with kitchen staff to ensure meals are timely and all students eat.

  • Accompany students during off-campus activities when needed.

Communication and Recordkeeping

  • Maintain accurate records of student attendance, sign-in/sign-out logs, sick reports, and behavior logs.

  • Collect and hold students’ mobile phones during school hours and ensure phones are returned at designated times.

  • Facilitate communication between students and their families under the school’s communication policy.

  • Submit regular reports to Chief of Proctor.

Pastoral Care and Mentorship

  • Build trusting, supportive relationships with students.

  • Offer guidance on personal hygiene, time management, and respectful behavior.

  • Identify and support students who may be homesick, anxious, or struggling emotionally.

  • Encourage academic focus and a positive boarding experience.

Activities and Engagement

  • Organize or supervise extracurricular and evening activities (e.g., sports, reading clubs, talent shows).

  • Promote active participation and ensure all students are included.

  • Coordinate with teachers and support staff for weekend enrichment programs.

Health and Hygiene

  • Encourage and monitor students’ personal hygiene, cleanliness of dorm rooms, laundry routines, and dress code.

  • Escort sick students to the school nurse or nearby clinic, as necessary.

  • Ensure dormitories and shared spaces are clean and orderly.

Teamwork and Professional Conduct

  • Attend staff meetings and participate in training and development programs.

  • Work collaboratively with fellow proctors, teachers, counselors, and school leaders.

  • Maintain confidentiality and uphold the school’s values and code of conduct.

Job Requirements

  • Minimum high school diploma; a certificate in Education, Childcare, Counseling, or Social Work is an advantage.

  • Experience working with children or adolescents, especially in a school or dormitory setting.

  • Strong organizational, interpersonal, and conflict-resolution skills.

  • Ability to manage large groups and handle challenging situations calmly and fairly.

  • Compassion, patience, and a deep commitment to student welfare.

  • Flexibility to work shifts, including nights, weekends, and holidays.

  • Fluency in Amharic; English proficiency is a plus.

  • Willingness to live and work in a rural setting. Female candidates are highly encouraged to apply.
