Job Description

We are looking for HR& Admin coordinator who reports to HR Manager of Florensis Makeda Farm PLC. The job holder mainly performs and coordinates the activities of processing the decisions of human resources recruitment, replacement, transfer, promotion, performance appraisal, disciplinary measures, leave, and other HR decisions. He /she motivate staff to perform effectively, build trust, facilitate trainings, and ensure that the organization policies, procedures, and systems are effectively implemented in the organization. 

Duties & Responsibilities:

  • Arranging the recruitment process as per Florensis Makeda HR Manual policy and the labor law on discussing with HR& Departmental Managers.

  • Prepare vacancy announcements based on specific job descriptions and skill requirements proposed by the recruiting department and disseminate the announcement of job opportunities internally and externally.

  • Receive job applications, coordinate with at least two panel members of the panel including the recruiting manager to undertake short listing and arrange assessments/interviews are conducted within a reasonable time.

  • Orient the panel with recruitment policy and set of procedures and criteria’s every time the members meet for assessment/interview and ensure that the rules and regulations are strictly adhered to while selecting or rejecting candidates.

  • Conduct reference checks as a means of obtaining information on strength and weaknesses of selected candidates to strengthen the decision of the panel. 

  • Prepare employment minutes based on the recommendations of panel members and secure approval of the HR Manager. 

  • Facilitate the preparation of offer letter or employment contract, organize adequate inductions for new joiners and prepare recruitment status report on monthly basis. 

  • Keep and maintain up dated personnel files of employees

  • Follow up end dates of employee’s probation period, contract expiry dates and remind HR Department/ line managers/ immediate supervisors for proper action. 

  • Conduct and properly manage Refreshment trainings, assess the Capacity development needs, compile the personal development requests of all staff.

  • Calculates& inputs Annual Leave, Sick Leave information accurately and manage the annual leave schedules& balances

  • Coordinate distribution of office communications including office memos, letters, and other notices. 

  • Collects leaves (Sick Leave, Maternity Leave, Mourning Leave and other types of authorized leaves) data, and check their validity before encoding to the data base. 

  • Ensuring all staffs are covered by employment contract, probationary performance evaluations are received and subsequently, employment is either confirmed or terminated

  • Prepare contracts for employees & control the renewal of contracts. 

  • Prepares the necessary HR Reports& assist working on the HR payroll system 

  • Coordinates all performance evaluations and probation period ratings before it expires. 

  • Ensure legal compliance throughout human resource management.

  • Provides training for employees

  • Other duties as assigned.

Job Requirements

Education: - A minimum of bachelor’s degree in human resources management, Management, other similar.

Experience: Minimum 5 years of direct experience in similar position.

  • Competent in use of word and excel 

  • Ability to prioritize tasks and be able to deliver to tight deadlines

  • Excellent writing and presentation skills

  • Negotiation and influencing skills, including the ability to build relationships with others.

  • Hands-on experience with HR software (HRSM) including payroll and recruitment systems.

  • Proven experience in compensation and benefits management including performance appraisal systems.

  • Adequate knowledge of current labour rules and regulations and contemporary HR trends

  • Strong quantitative and analytical skill

  • Strong communication and interpersonal skills

  • Very Good Speaking& writing skills in Oromic, Amharic & English language
