Job Description
The Store Head is a critical leadership role responsible for the efficient and effective management of a central or regional medical and other supply store within the Ministry of Health. This position requires a highly organized and detail-oriented individual with strong leadership, inventory management, and logistical skills. The Store Head will ensure the timely procurement, storage, distribution, and maintenance of medical supplies and equipment, adhering to strict inventory control procedures and Ministry guidelines.
Inventory Management: Oversee all aspects of inventory control, including receiving, storage, tracking, and distribution of medical supplies and equipment. Implement and maintain accurate inventory records. Conduct regular stock takes and reconcile discrepancies. Analyze inventory data to identify slow-moving items and suggest strategies for improved stock management.
Procurement & Supply Chain: Collaborate with procurement departments to ensure timely ordering and delivery of medical supplies, negotiating favorable contracts and managing supplier relationships. Monitor supply chain efficiency and identify opportunities for improvement. Maintain strong relationships with key vendors.
Warehouse Management: Manage the physical warehouse, ensuring proper storage conditions, safety procedures, and security protocols are followed. Oversee warehouse layout, organization, and staff. Implement and maintain a clean and organized warehouse environment.
Compliance & Regulations: Ensure strict adherence to all relevant Ministry policies, procedures, and regulatory requirements relating to inventory management, storage, and distribution of medical supplies. Maintain accurate documentation and audit trails. Stay updated on changes in regulations and adapt procedures accordingly.
Reporting & Analysis: Generate regular reports on inventory levels, stock movement, and other key performance indicators. Analyze data to identify trends and make informed decisions to optimize store operations. Prepare reports for management as required.
Logistics & Distribution: Manage the efficient and timely distribution of medical supplies to various health facilities, coordinating deliveries and transportation. Optimize delivery routes and schedules for maximum efficiency.
Quality Control: Implement and maintain quality control procedures to ensure the integrity and safety of medical supplies. Handle any damaged or expired goods according to established protocols. Ensure proper handling and storage of temperature-sensitive items.
Job Requirements
Educational Background:
Minimum of a college diploma or Technical Vocational Level 3/ 10+3/ COC Assessment Certificate in Supply Management, Procurement and Supply Management, Business Management Salesmanship, Sales Management, , Marketing, Marketing Management, Logistics and Supply Chain Management, Management, Purchasing Management, Logistics , Material Management; Logistics and Supply Management, Property Administration, Purchasing and Supply Management, Sales Supply Management , Cooperative Business Management, Logistics and Procurement And Marketing and Supply Chain Management, Banking and Insurance, Purchasing and Supply Supervisor, Accounting , Accounting and Finance.
Work Experience:
Minimum of 6 years of experience in a in store, supply management or material management or similar role, preferably within a healthcare setting or government agency.
Both the Civil service and MoH Human Resource Development rules and regulations will be applied to guide the day-to-day services of the postholder.
As new priories emerge, MoH/RHB may periodically revise the TOR for this position.
