Job Description

The Event Coordinator plays a crucial role in planning, organizing, and executing various events, ensuring their successful implementation. This position requires excellent organizational and communication skills, attention to detail, and the ability to handle multiple tasks simultaneously. The Event Coordinator works closely with clients, vendors, and team members to create memorable and seamless event experiences.

  • Event Planning and Organization

    • Collaborate with clients and internal stakeholders to define event objectives, themes, and desired outcomes.

    • Research and propose event concepts, themes, and venues suitable for the client’s needs.

    • Develop event timelines, budgets, and critical path schedules.

    • Coordinate logistics, deliver event equipment, and manage suppliers and vendors involved in the event.

  • Communication and Client Management

    • Maintain regular communication with clients, providing updates on event planning progress.

    • Act as the primary point of contact for clients, addressing inquiries and requests promptly.

    • Update key stakeholders periodically on progress and proactively reach out to outline processes and status updates.

  • Budgeting and Financial Management

    • Develop event budgets and monitor expenses to ensure adherence to allocated funds.

    • Negotiate with vendors and suppliers to secure competitive pricing and favorable contracts.

  • Event Execution and On-site Management

    • Oversee event setup, equipment, and signage.

    • Supervise event staff, volunteers, and third-party vendors during the event.

    • Troubleshoot issues that arise during the event and implement effective solutions.

    • Ensure compliance with health and safety regulations and emergency procedures.

  • Post-Event Evaluation and Reporting

    • Conduct post-event evaluations to gather feedback from clients, attendees, and stakeholders.

    • Analyze event success metrics, such as attendance, participant satisfaction, and budget performance.

    • Prepare comprehensive event reports for internal and external stakeholders.

    • Identify areas for improvement and implement changes for future events.

  • Sponsorship and Inventory Management

    • Negotiate and secure sponsorship agreements for free crate issues, aligning with event objectives and brand values.

    • Track and report on the effectiveness of free crate issue sponsorships in terms of brand exposure and audience reach.

    • Ensure compliance with legal and regulatory requirements related to free crate distribution and sponsorship agreements

    • Develop and maintain a system for tracking visibility material inventory levels, ensuring accuracy and timely updates.

    • Liaise with the procurement department to manage the ordering process for visibility materials, ensuring cost-effectiveness and adherence to budget constraints.

    • Coordinate with the marketing and creative teams to ensure visibility materials are in line with current marketing campaigns and brand guidelines.

    • Implement and oversee a maintenance schedule for visibility materials to ensure they are in good condition and ready for use at events.

    • Complete any other responsibilities as assigned by the supervisor.

Job Requirements

Education: 

  • A bachelor's degree in Marketing, Communications, or a related field is preferred

Experience: 

  • 3-5 Proven experience in event planning, coordination, or a similar project management role.

Skills:

  • Exceptional organizational skills with meticulous attention to detail.

  • Strong written and verbal communication and interpersonal skills, capable of engaging diverse stakeholders effectively.

  • Demonstrated ability to manage multiple projects simultaneously, prioritize tasks, and meet tight deadlines in a fast-paced environment.

  • Proficiency with event management software, registration platforms, and Microsoft Office Suite (Word, Excel, PowerPoint).

  • Strong problem-solving abilities and a proactive, customer-service-oriented approach.

  • Ability to work both independently and collaboratively within a team.

  • Attention to detail and problem-solving skills.

  • Proven experience as an Event Coordinator or in a similar role.

  • Knowledge of event planning best practices and industry trends.

  • Flexibility to work evenings, weekends, and holidays as required.

  • Ability to work under pressure and meet tight deadlines.

  • Possession of a college degree (in any field)

  • Understanding of email, Microsoft Word, and Excel

  • English and Amharic are spoken and written fluently

  • Proactive in decision-making

Work Environment:

  • Ability to work flexible hours, including evenings and weekends, and travel as required for events.
