Job Description

The Event Administrator will be responsible for assisting in organizing and coordinating various events within the Creative Arts field. This individual will work closely with event planners, vendors, and participants to ensure that all aspects of the event run smoothly and efficiently. The Event Administrator will also be responsible for managing paperwork, filing important documents, and handling any administrative tasks related to the events. They will provide administrative support for various events, ensuring their success from beginning to end. As the Event Administrator, you will assist with planning and coordinating all aspects of events, including logistical arrangements, vendor management, and on-site coordination.

Key Responsibilities and Accountabilities 

  • Collaborate with internal stakeholders to understand event goals, target audience, and budget.

  • Manage event registration and ticketing, including developing registration forms and processing payments.

  • Coordinate event schedules, agendas, and rundowns, and communicate these to all participants.

  • Oversee on-site event logistics, including managing vendors, troubleshooting issues, and serving as the main point of contact.

  • Develop detailed event plans and checklists to ensure all tasks are completed on time.

  • Maintain inventory of event supplies and place orders as needed.

  • Administer free crate issues, including tracking distribution, managing inventory, and ensuring alignment with sponsorship agreements.

  • Monitor visibility of material inventory, ensuring adequate stock for events, and coordinating with the warehouse for inventory tracking.

  • Conduct audits to minimize stockouts and order visibility materials as necessary.

  • Provide on-site support during events, including managing volunteers and event staff.

  • Collect post-event feedback and prepare event recaps and performance reports.

  • Identify opportunities to improve event planning, execution, and overall attendee experience.

  • Complete any other responsibilities as assigned by his/her supervisor

Job Requirements

  • Bachelor's degree in Event Management, Marketing, Communications, Business Administration, or a related field preferred.

  • 1- 3 years of experience in event coordination, event administration, or a similar role

  • Excellent communication and interpersonal abilities.

  • Attention to detail and problem-solving skills.

  • Proven experience as an Event Coordinator or in a similar role.

  • Knowledge of event planning best practices and industry trends.

  • Flexibility to work evenings, weekends, and holidays as required.

  • Ability to work under pressure and meet tight deadlines.

  • Possession of a college degree (in any field)

  • Understanding of email, Microsoft Word, and Excel

  • English and Amharic are spoken and written fluently

  • Proactive in decision-making

  • Team player, result-oriented, and quick learner

  • Ability to work flexible hours, including evenings and weekends, and travel as required for events.
