Receptionist

Designation: Receptionist

Reports to: Customer Service Manager / Department Head

Salary & Benefits: Negotiable and Attractive

The Receptionist will be the first point of contact for patients and visitors, providing a welcoming and efficient experience. This role involves managing inquiries, directing visitors, scheduling appointments, and performing administrative tasks to ensure smooth clinic or department operations.

Duties & Responsibilities

  • Operational Duties:

    • Greet patients and visitors warmly and professionally, offering assistance and directions.

    • Answer incoming calls, manage inquiries, and direct calls to appropriate departments or staff members.

    • Schedule and confirm patient appointments, manage appointment changes and cancellations.

    • Register new patients and update existing patient information accurately.

    • Manage patient flow in the waiting area, minimizing wait times and ensuring comfort.

    • Handle incoming and outgoing mail and deliveries.

    • Maintain the cleanliness and organization of the reception area.

  • Administrative Duties:

    • Process patient payments and manage basic billing inquiries.

    • Maintain confidentiality of patient information.

    • Perform general administrative and clerical tasks as assigned.

  • Customer Service:

    • Address patient and visitor concerns with empathy and professionalism, seeking assistance from supervisors when necessary.

    • Provide information about hospital services and facilities.

Job Requirements

Minimum Requirements

  • Diploma or Certificate in Secretarial Science, Office Management, or a related field.

  • Minimum of 2 years of experience in a front office or reception role, preferably in a healthcare or customer-facing environment.

  • Excellent verbal and written communication skills in Amharic and English.

  • Proficiency in using computer systems (e.g., Microsoft Office, appointment scheduling software).

  • Strong organizational skills and ability to multitask effectively.

  • Pleasant demeanor, patient, and professional attitude.
