Under the supervision of the Finance Manger the finance clerk plays a crucial role in handling the day-to-day activities documentation, scanning, and filing of the financial document in the department. He/she will be involved in the day-to-day accounting and transaction activities when assigned the immediate supervisor, ensuring their proper documentation, verifying the accuracy reference classification of documents as per the financial procedures and policies.
Duties & Responsibilities:
Scanning and uploading
Ensure the scanned documents are labeled as per IMCs documentation and labeling procedures.
Manage day to day document scanning and control “PAID” stamp
Handle the monthly/quarterly signatory sample for the HQ submission.
To maintain, update, and retrieve the financial information from the financial database and system
Check all the financial vouchers from field and Addis and make sure the vouchers are scanned and shared with Finance Manager to upload and flag up the missing documents to Finance manager and FAD.
Facilitates and identify financial transaction documents to Internal and external auditor
Petty Cash
Responsible for the daily cash handling and reconciliation.
Ensure that all necessary documentation is maintained and authorized by relevant signatories before cash/ and cash collections.
Update the daily cash transactions journal (CTJ) and share with senior finance officer and finance officer for posting to Cost Point.
Maintaining cash boxes to be safe.
Ensure that necessary codes are filled in before settling payments.
Make timely cash replenishment requests when cash account reaches to the minimum balance
Responsible for the remittance of statutory deductions such as Income tax, Pension and Withholding tax
Maintain Withholding tax deductions and other related statutory deductions are adhered and filed
Responsible for purchasing Report submission for ERCA projects
Responsible for maintaining well organized filling systems for finance files and records and assisting in retrieval of financial documentation whenever necessary.
Tax related settlement
Payments (Bank and suppliers)
Monitor day-to-day bank transfer and deposit instruction/advice collection and update the file with finance officer-disbursement.
Issue Withholding Tax Receipt to the payer wherever applicable.
Assis the finance officer-disbursement in withholding tax receipt management and documentation.
Handle staff provident fund payment preparation and settlement.
Other relevant tasks assigned by the supervisor.
Job Requirements
Diploma in Finance & Accounting, Business management, or relevant field.
Minimum 2 years’ experience directly related to financial management or accountancy
Knowledge of English language writing and speaking
Basic knowledge in financial accounting software, MS Excel and MS Word as well as good grasp on Internet and email communication.
