Job Description

To accurately record, manage, and report labor and equipment utilization data at the construction site. This includes monitoring attendance, tracking work hours, recording equipment use, and supporting productivity analysis to ensure efficient site operations and proper payroll processing.

Main Duties and Responsibilities:

1. ATTENDANCE AND WORK HOUR MONITORING

  • Accurately record the daily attendance of all site personnel, including arrival, departure, and total working hours.

  • Track employee leaves, absences, and overtime, ensuring proper documentation and approval in line with company policy.

  • Maintain compliance with labor laws and internal work-time policies.

2. EQUIPMENT TIME SHEET RECORDING

  • Record daily equipment usage, including hours operated and operator details.

  • Submit completed equipment time sheets to the project office for cost tracking and billing purposes.

  • Ensure accurate logging to support equipment productivity assessments.

3. DATA REPORTING AND SUBMISSION

  • Submit accurate and timely data to the HR or payroll department to support proper salary calculation and labor cost billing.

  • Prepare and submit daily labor and equipment reports to the General Foreman and project management team.

  • Generate weekly and monthly summary reports as required.

4. COORDINATION AND COMMUNICATION

  • Work closely with foremen, supervisors, and project managers to ensure time records reflect actual site operations.

  • Communicate changes or discrepancies in time records to relevant departments promptly.

  • Support operational planning by providing reliable workforce data.

5. DOCUMENT CONTROL AND COMPLIANCE

  • Maintain an organized filing system (digital or manual) for all timekeeping records.

  • Safeguard confidential employee data and restrict unauthorized access.

  • Ensure all practices align with internal policies and regulatory requirements.

Job Requirements

Qualification and Experience:

Education:

  • Diploma or Certificate in Business Administration, Human Resources, or a related field.

Experience:

  • Minimum of 3–5 years of experience in timekeeping or administrative support, preferably in a construction or industrial setting.

Expertise:

  • High attention to detail and data accuracy.

  • Proficiency in timekeeping systems and Microsoft Office, especially Excel.

  • Strong communication, coordination, and organizational skills.

Knowledge and Skills:

  • Solid understanding of labor laws, payroll procedures, and overtime regulations.

  • Practical knowledge of construction site workflows, crew deployment, and equipment operations.

  • Proficiency in preparing accurate documentation and reports related to workforce and equipment usage.
