Job Description

Medical Teams International holds strict child and vulnerable adult safeguarding principles and a zero-tolerance policy for misconduct related to sexual harassment, exploitation and abuse in the workplace and other places where the organization’s activities are rendered. Parallel to technical competence, recruitment & selection, hiring decisions will give due emphasis to assessing candidates' eligibility thorough background checks, police clearance, and professional reference check processes.                                                                                                                                                                                                                                    

The Field Coordinator contributes to the calling of Medical Teams International by managing both program and support functions, ensuring compliance, overseeing security and safety measures, and handling field-level external relationships, including representation. This position is responsible for the effective implementation of programs and activities in the field, while also supporting all administrative procedures. The Field Coordinator will work closely with both internal and external partners to ensure seamless coordination of Medical Teams activities. Additionally, this role ensures that staff and programs adhere to Medical Teams and donor policies and procedures. 

Duties and Responsibilities

  • Manage field office operations and programs, ensuring the proper coordination and support for all activities and field staff, in alignment with Medical Teams and donor requirements.

  • Coordinate with the Logistics Department to ensure that resources, including registers, medical forms, small machines, and other supplies, are in place for operations to function smoothly.

  • Collaborate with the Finance Department to ensure budgets are appropriately managed and that all activities comply with donor financial guidelines.

  • Liaise with the HR Department to advise and ensure adherence to Medical Teams policies, ensuring the proper management of field staff and compliance with HR policies.

  • Work with Programs and Technical staff to oversee the implementation of Medical Teams programs at field project sites, ensuring that activities are carried out to a high standard of quality. This includes regularly visiting and monitoring project implementation sites.

  • Review duty rosters and conduct spot checks on staff attendance to manage and resolve any attendance-related issues.

  • Coordinate cooperation and the transfer of staff and resources between field teams to ensure smooth operations and effective teamwork.

  • Ensure that training sessions are regularly conducted to build and maintain the capacity of Medical Teams staff.

  • Support In-Charges in guiding staff on disciplinary matters and resolving any issues that arise.

  • Facilitate weekly departmental meetings and monthly general staff meetings to ensure communication and alignment on goals.

  • Represent Medical Teams during local UN Cluster and Governmental coordination meetings, including sector working groups, interagency discussions, and security coordination.

  • Liaise with relevant stakeholders regarding security management, and inform the Regional Response Coordinator accordingly.

  • Oversee field office safety and security, including training staff, monitoring the security situation, and enforcing safety protocols. Ensure constant communication between the field teams, field office, and country office.

  • Compile and submit weekly and monthly reports on activities conducted, including key achievements, challenges, and actions taken.

  • Ensure accountability is integrated into country strategies, program design, monitoring and evaluations, recruitment, staff onboarding, trainings and performance management, partnership agreements, and highlighted in reporting.  

  • Ensure the Safeguarding of program participants and employees through promoting an environment of awareness and upholding the code of conduct provisions of Medical Teams Protection from Sexual Exploitation & Abuse, Child & Vulnerable Adult protection, and harassment-free workplace policies. Incumbents will remain alert and responsive to any child and adult safeguarding risks, acquire relevant knowledge and skills which will enable you to promote strong safeguarding practices, understand the child and adult safeguarding policy and procedures, and conduct yourself in a manner consistent with the Safeguarding

Reports to: Direct: Country Director

Location: Gondar Field Office, with occasional travel to field locations

Workdays & Hours: Monday-Friday, 40-48 hours/week, occasional weekends and public holidays

Travel Required: Up to 25%

Job Requirements

 EDUCATION, LICENSES, & CERTIFICATIONS   

Required:                                                                                                                          

  • Bachelor’s Degree in Social Sciences, Project Management, Management or related field 

Preferred:

  • Applicants with previous experience working in Amhara region, specifically Gondar area are highly encouraged

  • Postgraduate training in Public Administration and Management or Monitoring & Evaluation or a related field is an added advantage

EXPERIENCE

Required:                                                                                                                                                                                                          

  • A minimum of 6 years of managing multiple grants project at field level in a humanitarian organization 

  • 2 years of people management experience 

  • Experience in Project management, stakeholders management and engagement, strategic planning, reporting, communication with donor focal person at the field level, government authorities & partner NGOs, partnership development, coordination with various stakeholders, forums and clusters.

 KNOWLEDGE, SKILLS & ABILITIES                                                                                                                       

Knowledge:

  • Knowledge of humanitarian operations and project cycle management

  • Sound knowledge of MTI's HR and procurement policies and procedures

  • Basic knowledge of donor activity requirements and reporting

Skills:

  • Skilled in project cycle management and coordinating logistics

  • Skilled in capacity building and mobilizing staff to achieve a common goal

  • Skilled in relationship building with the ability to liaise with multiple partner agencies

  • Skilled at using Microsoft Word, Excel, PowerPoint and Outlook

Abilities:

  • Excellent proficiency in English language (written and spoken)

  • Excellent proficiency in the local language of the field location (written and spoken)

  • Ability to be flexible and to adapt  to changing situations and environments

  • Ability and interest to mentor others

  • Ability to travel to health facilities frequently and at times upon short notice 

  • Ability to exercise considerable initiative to plan, organize and follow through to meet deadlines

  • Ability to prioritize in a dynamic environment
