Job Description
The Fleet Coordinator plays a critical role in managing our fleet operations, ensuring the efficient and safety of vehicles and drivers. This position involves overseeing driver activities, maintaining vendor relationships, and optimizing fleet performance. The ideal candidate will demonstrate strong organizational skills, attention to detail, and the ability to work collaboratively across departments.
Evaluate driver performance through regular assessments, ensuring adherence to safety protocols and company policies.
Implement corrective actions and training programs as necessary to improve driver performance and safety.
Organize and facilitate training sessions on safe driving practices, vehicle operation, and compliance with local regulations.
Maintain up-to-date training records for all drivers.
Establish and maintain relationships with vehicle suppliers, maintenance contractors, and service providers.
Conduct regular reviews of vendor performance against service level agreements (SLAs) and take corrective action as needed.
Utilize fleet management software to monitor vehicle health, driver behavior and vehicle location, maintenance schedules, and fuel consumption.
Ensure swift, compliant, and effective handling of vehicle accidents, minimizing operational disruption and protecting company assets, personnel, and reputation.
Conduct regular audits of fleet operations to identify inefficiencies and areas for improvement.
Ensure all vehicles comply with federal regulations, including annual inspections and road fund.
Maintain necessary documentation for all vehicles, including registrations, insurance, and maintenance records.
Ensure all newly acquired vehicles are registered, insured, and documented in accordance with Ethiopian transport regulations.
Collect and analyze data related to fleet operations, driver performance, and vendor efficiency.
Prepare comprehensive reports for senior management, highlighting key performance indicators (KPIs) and identifying trends.
Assist in the preparation and monitoring of the fleet budget, ensuring expenditures align with company goals.
Identify cost-saving opportunities within fleet operations and report findings to management.
Maintain accurate and up-to-date records of all fleet-related activities, including maintenance logs, vendor contracts and others.
Ensure all records are accessible and organized for audits and compliance checks.
Serve as the primary point of contact for drivers, vendors, and internal stakeholders regarding fleet operations.
Communicate policies and procedures effectively to all relevant parties.
Qualifications:
Education: Bachelor’s degree in mechanical engineering, logistics, transportation management, or a related field preferred.
Experience: Minimum of 3 years of experience in fleet management, logistics, or transportation coordination.
