Job Description

A senior secretary provides high-level administrative and secretarial support, managing complex schedules, drafting documents, coordinating meetings, and maintaining confidentiality to assist executives and leadership. Key duties include correspondence, travel arrangements, reporting, and data management, often requiring strong organizational skills, proficiency in office software, and excellent communication abilities.  

Typical Duties & Responsibilities 

  • Correspondence and Communication:  

Handle incoming and outgoing calls, emails, and letters, drafting correspondence for managers.  

  • Scheduling and Coordination:  

Manage calendars, schedule appointments and meetings, and arrange travel for staff and executives.  

  • Document Preparation:  

Type, format, and proofread various business documents, including reports, memos, presentations, and meeting minutes.  

  • Filing and Records:  

Maintain physical and digital filing systems, ensuring proper organization and confidentiality of sensitive information.  

  • Administrative Support:  

Assist with general administrative tasks, such as ordering office supplies and managing office logistics.  

  • Visitor Assistance:  

Greet and welcome guests and visitors with a high level of customer service.  

Job Requirements

Technical Skills:  

  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).  

Soft Skills:  

  • Excellent communication, interpersonal, organizational, and time management skills.  

Personal Attributes:  

  • Strong attention to detail and accuracy, ability to work independently and as part of a team, professionalism, integrity, and discretion.  

Experience:  

  • Proven experience in a secretary, administrative assistant, or similar role is often required, typically with a minimum of several years of experience.  

Education:  

  • A Diploma or Bachelor's degree in Secretarial Science, Office Management, or a related field is often preferred.
