In Ethiopia, our country strategy for the year 2021-2025 focuses on Eye Health, Inclusive Economic Empowerment, Neglected Tropical Diseases (NTDs), Inclusive Education and Humanitarian Action. Advocacy and disability inclusion are cross cutting theme. Currently, Light for the World Ethiopia is supporting projects in Addis Ababa City Administration, Amhara, Tigray, Oromia, Sidama, and SNNP regions.
Light for the world therefore seeks the services of an experienced and self-driven person to lead this innovative and ambitious project hence the vacancy below.
Job Title: Driver &Logistics Officer
Contract length: One year with the possibility of extension based on performance &Fund availability
Reports to: HR &Administration Manager
Location: Addis Ababa
Number of Post: 1 (One)
The role holder is responsible for providing safe driving services to Light for the World’s business in the Ethiopia country program and coordinates and manages vehicle rental and delivery process and field visit requests in a systematic and timely manner. He will be in charge of setting up proper operating system is in place, understood and adhered by the team Ensuring that periodic scheduled vehicle maintenance is completed and reported. Providing safety and security briefings to travelers where it deemed necessary.
In close cooperation with the respective colleagues from the county office, he further plays an important role in handling all procurements in the organization, managing inventories, and maintaining accurate purchase and pricing records. Maintaining and updating supplier information such as qualifications, delivery times, product ranges, will fall under his responsibilities. The role holder is responsible in updating himself and adhere to the organizational policies and procedures and always remain alert about the safety and security situation of the country.
DRIVING AND COORDINATING TRAVELS (50%)
Provide driving services to the team to project sites in the country for field monitoring and supervision/meetings. This includes visitors and VIPs from the international office
Provide driving services and deliver messages/post to other offices as per instructions within Addis for organizational business
Ensure that the office vehicles are well-maintained and are in good order; inspect them regularly and ensure that they are maintained systematically under the manufacturer’s recommendations.
Operating and maintaining vehicles with a focus on safety and customer courtesy.
Ensuring that periodic scheduled vehicle maintenance is completed and reported.
Providing safety briefings to travelers. The position holder is encouraged to be updated on the in-country safety and security situation and always consult the Light for the World's focal person.
Coordinate and manage car rental requests from the team
Make sure the requested vehicles are as per the request and reach staff members on time.
Ensure the car request has the log sheets attached and aligned with the requested dates before submitting for payment.
Verify documents submitted by the company for payment are complete and clear, and confirm to the finance and grant team for payment. Refer to the internal guidelines.
Maintains accurate, up-to-date records on trip sheets and logbook, staff transportation forms, vehicle maintenance schedules, fuel purchases, incident reports, accident reports, vehicle condition reports, and other records that are requested from management.
Responds immediately to accidents or medical emergencies by notifying emergency response providers and rendering First Aid until emergency personnel arrive.
Alert the management immediately if there are matters that need management attention
Conduct themselves per the Code of Conduct, Safeguarding and Local/Country Policies and Procedures.
PROCUREMENT AND LOGISTIC (50%)
Assist in the procurement of goods and services, including obtaining price quotations and preparing purchase orders.
Conduct market research to identify suppliers and best prices for required goods and materials.
Purchase office supplies, equipment, and project-related materials as per approved budgets and requirements.
Ensure the timely delivery of purchased items and confirm that they meet the organization’s quality and quantity specifications.
Maintain accurate records of purchases, receipts, and inventories
Managing inventories and maintaining accurate purchase and pricing records.
Maintaining and updating supplier information such as qualifications, delivery times, product ranges, etc.
Maintaining good supplier relations and negotiating contracts
Keep efficiency and quality of items in all procurement processes
Identify risk areas ahead of time and alert the management
Request the team regularly if there is any procurement planned for weeks/s and months
Liaise with the international procurement team and plan the clearing process ahead of time
Identify any risks before the items/equipment are sent to Ethiopia
Keep proper records of all items procured for the country office as well as for partners, and avail of the documents when needed
Assume other relevant responsibilities as instructed by the Line manager
QUALIFICATION, SKILL AND EXPERIENCE REQUIREMENT
Minimum Diploma/Bachelor’s Degree in Logistics, Supply Chain Management, or related field, with 3-5 grade licenses is desirable, with at least 6/4 years of relevant experience respectively in Driving and logistics activities preferably in NGOs

Good knowledge in logistics and minor vehicle repair.
English language skill will be a plus:
