Job Description

The Tender & Contract Administration Head is responsible for managing the tendering process, overseeing contract administration, and ensuring compliance with contractual obligations for construction projects. This role involves developing and implementing strategies for bid preparation, contract negotiation, and administration to support successful project execution and organizational goals.

Main Duties and Responsibilities:

  • Tender Management:

    • Oversee the entire tendering process, including the preparation, submission, and evaluation of tenders.

    • Develop and implement tendering strategies to maximize the chances of winning bids and securing contracts.

    • Coordinate with project teams, engineers, and other stakeholders to gather necessary information and prepare comprehensive and competitive tender submissions.

  • Bid Preparation and Submission:

    • Review and analyze tender documents, including specifications, drawings, and contract terms.

    • Prepare detailed and accurate bid proposals, including cost estimates, schedules, and technical submissions.

    • Ensure compliance with all tender requirements and deadlines.

  • Contract Negotiation:

    • Lead contract negotiations with clients, subcontractors, and suppliers to secure favorable terms and conditions.

    • Address and resolve any issues or disputes related to contract terms and conditions.

    • Collaborate with legal and financial teams to ensure contracts are legally sound and financially viable.

  • Contract Administration:

    • Oversee the administration of contracts throughout the project lifecycle, ensuring compliance with contract terms and conditions.

    • Monitor contract performance and manage any changes or amendments, including scope adjustments and variations.

    • Coordinate with project managers and other departments to ensure that contractual obligations are met and project requirements are fulfilled.

  • Risk Management:

    • Identify and assess risks associated with tenders and contracts, and develop strategies to mitigate them.

    • Address and resolve any contractual issues or disputes that arise during the project execution.

    • Implement risk management procedures to protect the organization’s interests.

  • Documentation and Reporting:

    • Maintain accurate and comprehensive records of tender submissions, contracts, and related correspondence.

    • Prepare and present regular reports on tendering and contract administration activities to senior management.

    • Ensure that all documentation is up-to-date, organized, and accessible.

  • Team Leadership and Development:

    • Lead and manage the tender and contract administration team, including bid coordinators, contract administrators, and support staff.

    • Provide guidance, support, and training to team members to enhance their skills and performance.

    • Foster a collaborative and high-performance work environment.

  • Stakeholder Coordination:

    • Liaise with clients, subcontractors, suppliers, and other stakeholders to facilitate effective communication and collaboration.

    • Address and resolve any issues or concerns raised by stakeholders related to tenders or contracts.

    • Ensure that stakeholder expectations are managed and aligned with contract terms.

  • Compliance and Quality Assurance:

    • Ensure compliance with relevant regulations, industry standards, and company policies in all tendering and contract administration activities.

    • Implement and maintain quality assurance procedures to ensure the accuracy and completeness of tenders and contracts.

    • Conduct regular reviews and audits to ensure adherence to standards and identify areas for improvement.

  • Process Improvement:

    • Evaluate and improve tendering and contract administration processes to enhance efficiency and effectiveness.

    • Implement best practices and innovative approaches to bid preparation and contract management.

    • Encourage a culture of continuous improvement within the team and across contract administration processes.

Job Requirements

Education 

  • Bachelor’s degree or Master’s degree in Construction Management, Civil Engineering, Project Management, or a related field

  • Professional certifications in Construction   Management are preferred

Experience 

  • Minimum of 5 years of Relevant experience in Tender & Contract 

Skills:

  • Excellent leadership and team management abilities.

  • Strong negotiation and communication skills.

  • Advanced analytical and problem-solving skills.

  • Proficiency in contract management software and tools.

  • Ability to manage multiple tenders and contracts simultaneously, with a focus on accuracy and detail
