About Hamlin Fistula Ethiopia

Hamlin Fistula Ethiopia (HFE) is a pioneering organization dedicated to the prevention and treatment of obstetric fistula and related maternal health issues. Founded on compassion and excellence, HFE strives to restore health and dignity to women across Ethiopia through treatment, prevention, and rehabilitation programs.

One of our key initiatives, Project Zero, aims to achieve fistula eradication woreda by woreda, ensuring that no woman suffers needlessly from this preventable condition.

We already launched this program in some parts of the country.  We also want to ensure this project in Sidama Region, central Sidama zone, Arbeguna Woreda, and in Central Ethiopia, Western Gurage Zone, Gedebano Gutazer Wolene Woreda.

For the successful implementation of the program, HFE needs to employ an experienced candidate as per the given job title and responsibilities

Job Title or Position : Admin Assistant – Project Zero

Reports to : Project Zero Coordinator

Duty Station : Addis Ababa or Regional Offices (when needed)]

Mode of Employment : Contract for one year

Salary : As per the scale of the organization

The Admin Assistant will provide comprehensive administrative, human resource, and financial support to Project Zero. The role involves assisting in the day-to-day management of administrative and financial operations, supporting project staff, ensuring smooth coordination between departments, and maintaining compliance with organizational and donor requirements.

Duties & Responsibilities:

Administrative Support

  1. Manage daily office operations, correspondence, and filing systems.

  2. Organize project meetings, workshops, training sessions, and travel arrangements for staff and visitors.

  3. Maintain office supplies, inventories, and service contracts.

  4. Prepare letters, minutes, and administrative reports as required.

  5. Ensure timely submission of reports and proper documentation of project activities.

Financial and Accounting Support

  1. Handle all financial transactions related to Project Zero, including per diem, advances, and reimbursements.

  2. Follow up on efficient and effective utilization of project funds as per approved plans.

  3. Collect, review, and submit all financial documents to the Finance Department on time.

  4. Record and file all receipts, invoices, and financial transactions properly.

  5. Assist in petty cash management, budget tracking, and monthly expense reporting.

  6. Making Payments of different procurement transactions as needed.

Human Resource Support

  1. Support HR functions including staff attendance, leave tracking, and record keeping.

  2. Liaise with HR, Finance, and Project Zero teams.

  3. Maintain confidentiality of HR and financial information at all times.

  4. Perform other duties when assigned by the Project Zero Coordinator and prevention & PZ manger.

Job Requirements

Education Requirement: 

  • BA Degree in Management, Business Administration, Accounting, or related fields.

Work Experience

  • Minimum of five (5) years of relevant experience in administrative and financial roles within project settings.

  • Experience working with NGOs, development projects, or health programs is a strong advantage.

Skills and Competencies

  • Strong understanding of basic accounting principles and financial management.

  • Proficiency in MS Office (Word, Excel, Outlook) and accounting software (e.g., Peachtree or equivalent).

  • Excellent organizational, time management, and multitasking abilities.

  • Strong interpersonal and communication skills.

  • High level of accuracy, attention to detail, and proactive problem-solving ability.

  • Ability to maintain confidentiality and handle sensitive information appropriately.

  • Capacity to work under pressure and meet deadlines.

  • Good command of spoken and written English, Amharic and proficiency in other local language(s) is an asset.
