Job Description

We are seeking a dedicated and highly trustworthy Executive Assistant to support our CEO and COO. This role goes beyond administration—you will help manage daily operations, oversee the office environment, and ensure our leadership team is well-prepared and focused.

You will represent the company to clients and partners, maintain smooth communication, and contribute to building a positive and professional workplace culture. We are looking for someone who is organized, proactive, and eager to grow with a young and ambitious company.

Duties & Responsibilities:

  • Manage and coordinate daily schedules, meetings, and appointments for the CEO and COO.

  • Handle internal and external communications with professionalism and discretion.

  • Serve as the first point of contact for clients, guests, and partners, ensuring they feel valued and respected.

  • Assist in preparing presentations, reports, and other business documents (Excel, Word, PowerPoint).

  • Attend meetings, record minutes, and follow up on action items.

  • Support client and supplier interactions, maintaining a professional and approachable tone.

  • Organize and maintain files, records, and confidential documentation

  • Assist in company planning, operations tracking, and goal-setting follow-ups.

  • Represent the company and its leadership in meetings when required.

  • Manage the day-to-day operations of the office, ensuring it is organized, professional, and welcoming.

  • Oversee office supplies, cleanliness, and readiness for meetings and client visits.

  • Prepare and serve tea, coffee, or refreshments for clients, guests, and executives during meetings or office visits.

  • Ensure the CEO and COO are supported with all administrative and logistical needs.

  • Contribute actively to building and maintaining a positive company culture.

Job Requirement:

Required Qualifications

  • Education: Bachelor’s degree in a business-related field.

  • Experience: Minimum of 3 years’ experience in an administrative, office management, or executive support role.

  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).

  • Strong communication skills in both English and Amharic.

  • Excellent organizational and time-management skills with the ability to multitask.

  • Friendly, trustworthy, and professional demeanor.

  • Ability to handle confidential and sensitive information with discretion.

  • Willingness to learn and grow with the company.

Preferred Attributes

  • Previous experience supporting senior executives or in office administration.

  • Familiarity with import/export or trading businesses.

  • Flexible, proactive, and solutions-oriented mindset.
