POSITION SUMMARY:
The HR Coordinator is responsible for coordinating the field level HR Services in the area of Recruitment, Benefits administration, Staff Data Management, Training & Development, Orientation and other services and liaise with Addis level HR & OD for different functions of the department.
Duties & Responsibilities:
Key Result #1 Recruitment
1. Coordinate the recruitment process of the organization and ensure that all vacant positions in the region are timely filled
2. Lead the short listing of candidates, recruitment and selection process at field level and ensures the compliance of FH/E HR policy
3. Participate in the manpower planning process of projects
4. Guide field level project managers and assigned recruitment committee members in any recruitment and selection process.
5. Ensure that all required laws, policies and procedures are adhered during the field level recruitment.
6. Monitor the progress of the recruitment process at the regional level and provide periodic updates to HR Manager
Key Result #2 Benefit administration
1. Provide conceptual and technical support to project managers and field staff in the area of different benefits,
2. Ensure that all FHE staff members have fulfilled the necessary document for insurance and get appropriate insurance cover.
3. Ensure and Maintain regular relationship with regional level and respective zonal pension office and regularly update staff data pension data.
4. Ensure that all employee benefit claims are timely settled.
5. Responsible for coordination of monthly preparation and submission of timesheets.
Key Result # 3 HR Data Management
1. Ensure that all personnel files for staff hired in the region fulfill all the requirements
2. Serve as a regional administrator for Orange HRM and regularly monitor the system
Key Result # 4 Others
1. Assists in the development of HR policies, procedures and formats as assigned by the supervisor
2. Prepares and submits periodic performance reports;
3. Assist in facilitation of court case responses and others legal issues in the region
4. Liaise with different organizations and partners on areas of assignment.
5. Under the guidance of HR & OD Managers, organize and facilitate field level staff orientation & Induction programs
6. Follow up on employees’ completion of required organizational trainings
7. Engage in providing organizational trainings as assigned by the OD team.
8. Serve as C-SAFE and Safeguarding focal person at the regional level

Experience
At least six (6) years’ experience in a similar or senior HR position preferably in an INGO setting or equivalent combination of education and experience.
Education/Certifications
⮚ Bachelor’s degree (B. A.) in Business Management or Human Resources Management, MBA Preferred.
⮚ Professional certification will be an added advantage.
Supervisory Responsibility
The HR Coordinator has no supervisory responsibility
Language
Proficiency in spoken and written English required. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present organizational training and respond to questions from groups.

Organizing local training sessions, such as First Aid, Fire Safety, and Defensive Driving for staff members. If possible, he/she should conduct briefing and training sessions himself/herself;
Ensures that safety and security objectives are added to performance reviews and evaluations of all staff members;
Encourages staff to adopt safe and secure practices. Ensuring that updated personnel information related to safety (Record of Emergency Data) and security management are kept in Human Resources;

Provide adequate time to staff to participate in gender sensitivity workshops and related events.
Through observation, interviews, and spot-checks, ensure that the staff planning process is gender sensitive.
Build a better gender balance in staffing through affirmative action.
Observe if women staff are as involved as men in high-profile activities such as interaction with visitors and chairing meetings, and take corrective action if warranted.
Encourage female staff to participate in external networks (local and regional), as well as seminars and cross visits.
Facilitate open and regular discussions with staff on about the work environment, policies, and values convenient to gender issue
