Job Description

Reports To: Chief Finance Officer

Duties & Responsibilities:

  1. Welcoming visitors and providing assistance as needed.

  2. Newspaper management.

  3. Inward document management.

  4. Maintain Original document files.

  5. Travel management – Expatriate employees.

  6. Travel management – Domestic

  7. Plant and flower management.

  8. Office Keep-up

  9. Manage office utilities – telephone, internet, electricity, water.

  10. Timesheet management - HO.

  11. Office inventory management.

  12. Office Store management.

  13. Document management.

  14. Maintenance of furniture and equipment.

  15. Receive communication and transfer the same as required.

    a) Telephone calls.

    b) Internal communication from the other branches.

    c) External communication received.

  16. Compile and submit reports from branches to CEO, COO & CFO will include follow up for reports not received, filing and summarizing on checklist of report.

  17. Schedule meetings and arrange appointments schedule for CEO, COO & CFO.

  18. Manage and supervise office upkeep and maintenance with internal and external entities.

  19. Document processing 

    a) Scanning

    b) Copying

    c) Typing 

    d) Filing 

    e) Translating

  20. Maintain inventory of office stationery and supplies.

  21. Digitize inventory cards.

  22. Maintaining safe and clean reception area by complying with producers, rules and regulations.     

  23. Writing and reporting leave application and authorization form for absent employees.

  24. Ensuring proper filing of official documentation.

  25. Organise conference room scheduling, equipment, cleaning and take minutes for meeting.

  26. Monitor and maintain office equipment, inventory supplies and order replacement supply as needed.

  27. Coordinate office and maintain issues for general repair and update.

  28. Arrang tickets and travel arrangements abroad/domestic for company employees. 

  29. Monitor incoming and outgoing mail, receive and sign for mail/packages from couriers and deliver to proper recipient.

  30. Prepare correspondence documentation or preparation materials.

Assist other department with administrative or clerical suppor

Job Requirements

Qualifications & Skills:

  • Bachelor’s degree in office administration, Secretarial Science or related field.

  • Experience in records management or archiving

  • 2 years and above Experience
