Job Description

The Trainee Sales Contract Officer is an entry-level position that provides an opportunity to learn and grow in the field of contract management. The role involves supporting senior contract officers and the sales team in various aspects of contract preparation, review, and administration. This position is ideal for recent graduates or individuals with limited experience who are interested in pursuing a career in contract management.

Duties and Responsibilities:

  1. Assisting in the preparation of sales contracts, including filling in templates, gathering necessary information, and ensuring accuracy. 

  2. Reviewing contracts for completeness, consistency, and adherence to company policies. Identifying potential issues and escalating them to senior contract officers or legal counsel. 

  3. Supporting the administration of executed contracts, including maintaining organized records, tracking deadlines, and managing amendments. This may involve using contract management software. 

  4. Entering contract data into the contract management system and ensuring data accuracy. Maintaining electronic and physical files of contracts. 

  5. Communicating with internal stakeholders, such as sales and legal teams, regarding contract status and requirements. 

  6. Providing support to the sales team by answering contract-related questions and assisting with contract-related requests. 

  7. Liaising with legal counsel on contract-related matters, under the supervision of senior contract officers. 

  8. Conducting research on contract law, regulations, and industry best practices. 

  9. Identifying opportunities to improve contract management processes and streamline workflows. 

  10.  Perform any task given by his/her superior. 

Job Requirements: 

Education: 

  • BA in Management, Business Administration, Law or related field 

Knowledge: 

  • Basic understanding of contract law and legal principles.

  • Familiarity with sales processes and contract negotiation.

  • Knowledge of business principles.         

Skills:

  • Excellent communication and interpersonal skills.

  • Strong attention to detail and accuracy.

  • Organizational and time-management skills.    

  • Proficiency in Microsoft Office Suite (especially Word and Excel).

  • Ability to work independently and as part of a team.

  • Willingness to learn and develop contract management skills.
