Job Description

The Evening Dispatch Officer is pivotal in ensuring the seamless dispatch operations during the evening shift. This role encompasses the coordination of timely and accurate goods delivery, strict adherence to company policies and safety protocols, and providing exceptional service to clients and team members. The Evening Dispatch Officer plays a vital role in maintaining operational efficiency and enhancing customer satisfaction.

Working Hours: The working schedule for this role is from 7:30 PM to 3:30 AM.

Duties and Responsibilities

1. Dispatch Operations:

  • Strategically manage the evening dispatch schedule to optimize efficiency and ensure timely delivery of goods.

  • Coordinate with drivers and logistics teams to facilitate smooth and orderly loading and unloading processes.

  • Actively monitor, track, and resolve issues related to shipments to meet delivery deadlines and minimize delays.

  • Oversee inventory management, ensuring that dispatch-ready goods match planned shipments.

2. Communication & Coordination:

  • Act as the primary liaison for drivers, operational staff, and stakeholders during the evening shift, addressing queries and providing support.

  • Build and maintain clear and professional communication channels with customers to provide updates, notify of potential delays, and address any concerns.

  • Collaborate with warehouse personnel and other departments to align dispatch operations with broader organizational goals.

  • Implement and escalate conflict resolution processes, proactively managing challenges that arise during dispatch operations.

3. Documentation and Reporting:

  • Ensure dispatch-related documentation, including delivery notes, shipping manifests, and compliance logs, is completed with accuracy and efficiency.

  • Maintain comprehensive records of all dispatch activities, logging completed deliveries, discrepancies, and feedback for future improvement.

  • Generate detailed reports highlighting performance metrics, incident summaries, and recommendations for process optimization.

4. Compliance, Safety & Quality Assurance:

  • Guarantee that all dispatch activities align with company policies, industry standards, and legal requirements.

  • Conduct thorough safety inspections of vehicles, equipment, and goods prior to dispatch, flagging and resolving any potential hazards.

  • Promote and uphold a safety-first culture among team members, ensuring proper adherence to safety guidelines during the evening shift.

  • Promptly report and document all accidents, incidents, and near-misses, contributing to organizational risk management and prevention.

5. Team Leadership and Support:

  • Provide support, guidance, and leadership to evening shift team members, ensuring alignment with company values and operational objectives.

  • Contribute to staff training and development by mentoring team members and reinforcing best practices in dispatch operations.

  • Monitor team performance and collaborate with management to implement strategies for enhancing productivity and morale.
