Job Description
The Corporate Facility administration manager is responsible for leading and managing the transportation, security, sanitation, property, maintenance/repair, Liaison and other Facilities services of the company to ensure smooth flow of operation. For all areas Facilities Services, establish processes and procedures, ensure they are implemented, monitor completion and quality, troubleshoot and solve problems of department and subunits. And responsible for the smooth and efficient offices operation of the Company /group by ensuring safe and timely facility services.

Lead and manage the transportation, security, sanitation, property, maintenance/repair and other Facilities Administration services of the company/ Group.
Have a full understanding of the company’s and the department’s annual plans.
Align the activities of Facilities & Maintenance Administration Services with the annual plan and all routine operations.
Collaborate with managers in other departments.
Management – business, operations:
Ensure Maintenance and Facilities services are properly supporting the company’s operation.
Set Departments goals, define deliverables, set deadlines, & allocate assignments for routine operations
Manage the Services budget
Make sure to implement policies, procedures, systems & processes relevant to Administration Services.
Create work plans – goal, deliverables, deadline, time line, responsibilities, resources, and budget - for Administration Services projects.
Monitor and communicate progress of ongoing Facilities Services activities’ & special projects to the Corporate Human Resource
Remain current on trends, tools and best practices in all areas of Facilities Services, especially transport, Building & property, safety and security.
Management – people:
Collaborate with the Cooperate Human Resources to set annual and quarterly goals for your own performance, to ensure frequent feedback and coaching, to participate in all appropriate training and development activities, and to have at least an annual performance review.
Management of direct reports:
Participate in selection of Facilities Services staff.
Build relationships with individual group members.
Build and sustain work unit teams within Facility Administration Services.
Communicate with team members regularly.
For each team member, set goals, provide motivation, give on the job training, give feedback and coaching, and conduct performance reviews.
For team members, recognize exceptional performance, also, address under-performance and deliver consequences or penalties together with the HR Department
Delegate tasks to team members, for development and workload distribution.
Make sure team members receive appropriate training and development on a regular basis.
Provide formal career guidance and development for team members.
Technical:
For all areas of Facilities Services, establish processes and procedures, ensure they are implemented, monitor completion and quality, troubleshoot and solve problems related to
Transport services and vehicles
Distribution of letters and documents
Payment of rent, utilities
Management of buildings
Permits, contracts, inspections, licenses for all facilities and vehicles
Insurance coverage
Identify, establish and manage accommodation for expatriate staff.
Sanitation and cleaning services
Safety and security
Property and fixed asset management
Maintenance [Building, Furniture, Equipment’s and Vehicles]
Administrative:
Prepare and submit periodic reports
Perform other work-related tasks as requested by immediate supervisor
Generic Duties of the position:
Develop and implement the Department’s plans and objectives.
Develop and monitor the division’s budgets.
Identify human resources requirements of the Department and develop plan for meeting the requirements.
Develop, implement and review relevant departmental policies and procedures.
Review, approve and submit Departmental reports to relevant organs.
Support the development of subordinates through periodic performance evaluations, coaching, mentoring, ongoing performance dialogue and feedback.
Manage disciplinary concerns of the Department’s staff.
Represent the Department in internal and external relationships.
Participate in group decision making process by forming part of different groups/committees.
Request bids for services, select contractors, make sure the contract are signed by the authorized person.
Receive new assets and resources to be used or managed by Facilities Services groups
Follow up on work done poorly or not done or on goods delivered late or not at all, and seek corrective action with vendors and contractors.
Perform other duties when and as assigned by direct supervisor.
Education: BSc/Diploma in any business Management field and
Experience: have 6 years’ Experience which 3 years in senior management position
Excellent Problem solving and decision-making
Excellent Technical skill
Excellent in team building and communication
Experience and maturity to work cultural diversities and ability to communicate ideas, standards and policies with confidence.
