Job Description

The Administrative Assistant provides high-level administrative support to the organization by handling information requests, performing clerical functions, preparing reports and correspondence, and scheduling meetings and appointments.

Job Title: Administrative Assistant

Location: Addis Ababa, Ethiopia

Reports To: Deputy CEO

Duties and Responsibilities:

  • Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work

  • Answer phone calls and direct them to the appropriate person or department.

  • Prepare and edit correspondence, reports, and presentations

  • Schedule and coordinate meetings, appointments, and travel arrangements for managers or supervisors.

  • Assist in the preparation of regularly scheduled reports.

  • Handle sensitive information in a confidential manner.

  • Provide general support to visitors.

  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.

Job Requirements:

  • Education: Bachelors Degree or Diploma in Business Administration or in a related field of study with relevant work experience

  • Experience: 2 years proven experience as an administrative assistant or office admin assistant.

  • Knowledge of office management systems and procedures.

  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).

  • Excellent time management skills and the ability to prioritize work.

  • Attention to detail and problem-solving skills.

  • Excellent written and verbal communication skills.

  • Strong organizational skills with the ability to multitask.

  • High School diploma; additional qualification as an Administrative Assistant or Secretary will be a plus.

  • Experience in HR and logistics management.

  • Familiarity with office equipment, like printers and fax machines.

  • Ability to work independently and as part of a team.
