Job Description
Logistics Officer is responsible to handle the day-to-day logistics related activities of the company by maintaining smooth communication and relationship with banks and government bodies and has the responsibility of managing all hard and soft copy documents.
Check new proformas for the necessary information using check list approve/file correction request.
Encode all departmental information on the online record system and keep up-to-date record (GIT, Container Deposit, Bank Queue Record).
Encode, follow up and get approvals for all requests filed through Ethiopian Single Window Platform.
File request and acquire special permit from authorized government for special import goods (vehicles, fertilizers, chemicals, electronics, communication equipment, sensors, cameras).
Place proforma at the selected bank by preparing the necessary documents.
Follow up the bank to get purchase documents and send the draft purchase documents/order to the supplier through email and get confirmation.
File change requests to banks if modifications are required.
Follow up the supplier for receiving the official purchase document through bank.
Follow up with the subject bank and get beneficiary bank acknowledgment.
Monitor and track all inbound cargo and timely report to immediate supervisor for any challenge.
Check the completeness of all documents received from banks, insurances, shipping companies and regulatory bodies.
Prepare and file booking request to Shipping Agencies; collect booking document & send booking document to the supplier.
Check draft Shipping documents for compliance and get draft shipping document approved by the senior sourcing and logistics officer or department manager.
Notify the senior sourcing and logistics officer/or department manager for clearance preparation.
Notify the bank when the shipping documents arrive and ask for settlement.
Prepare documents required for settlement (cancellation, permit, clarification letters).
Prepare freight request debit authorization letter and get it signed by signatory.
Prepare container deposit request and get it signed by the authorized person.
Follow up and assist junior logistics officers on bank shipping document collection, freight payment, clearance and release.
Prepare payment requests.
Keep clean and up-to-date container deposit record.
Assist the junior logistics officers when organizing shipping documents for clearing and forwarding agents.
Daily follow up clearing and forwarding agents for clearance progress and update departmental record accordingly.
Check duties provided by the clearing, forwarding agent and prepare duty payment requests.
Follow up the checking process, record and notify to management if there are differences between document and actual cargo.
File duty free application on ESW, follow up and collect duty free document.
Prepare original documents to the clearing and forwarding agent.
Follow up on the clearing and forwarding agent to collect duty in the form of draft declaration, prepare payment request and get approval.
Record risk status, container and document checking date on departmental record.
Follow up the clearing and forwarding agent to get document checking result and record if there is any additional duty request.
Organize additional duty requests and present it to the senior sourcing & logistics officer /or department manager for discussion.
Prepare appeal document, file to clearing and forwarding agent based on the discussion result.
If the additional duty is not waived, get approval for the additional duty, prepare payment request and submit to finance department.
Follow up and get goods released from customs, and notify the respective material management team on goods departure from customs.
Record cargo release, arrival date and receive storage amount from the clearing & forwarding agent and prepare payment request.
Follow-up and collect final declaration issued.
Follow up on container return documents, file for deposit return and get deposits collected on time.
Perform other activities assigned by immediate supervisor.
Bachelor's Degree in a related field of study with relevant work experience
