Job Description
ATTA Trading plc seeks a highly professional and dedicated Contract Administrator to join our construction site team. The successful candidate will hold a Bachelor of Science degree in Construction Management or Civil Engineering and possess no fewer than five years of substantial experience in contract administration specifically within the construction industry. This position requires strong technical knowledge, excellent organizational ability, and a commitment to ensuring that contracts are administered efficiently, lawfully, and in accordance with project goals.
The Contract Administrator will be responsible for managing, coordinating, and administering all contract-related activities both on site and head office, ensuring that projects are executed in full compliance with contract terms, specifications, regulations, and company policies. This role includes preparation and review of contracts, negotiating terms and variations, monitoring contract performance, controlling costs and payment processes, managing risks, and maintaining accurate records. The successful candidate will work closely with project management, procurement, legal, finance, and site teams to ensure timely delivery, quality standards, and financial prudence across all contracts. A commitment to strong communication, integrity, organizational excellence, and proactive management of issues is essential.

Contract Drafting and Review
Prepare, draft, and review contracts, subcontracts, purchase orders, and vendor/supplier agreements to ensure they correctly reflect the scope of work, deliverables, quality standards, schedule, payment terms, insurance, warranties, and other legal and regulatory requirements.
Ensure that all contracts are comprehensive, unambiguous, and enforceable.
Legal & Regulatory Compliance
Make certain that all contractual documents comply with relevant laws, regulations, local codes, permit requirements, environmental and safety standards.
Obtain necessary approvals, insurance certificates, bonds, licenses, guarantees, etc., and ensure they remain valid throughout the contract life.
Stakeholder Communication & Coordination
Serve as the key point of contact between all stakeholders (project team, site engineers, subcontractors, suppliers, clients, legal, finance) to ensure understanding of contract obligations, scope, and changes.
Hold and/or participate in meetings (contract kick-off, progress, review, change meetings), prepare minutes and distribute them.
Scope, Change & Variation Management
Monitor scope of work vs what is being delivered; when deviations or change requests (variations) arise, assess their impacts in terms of cost, time, quality, resources, risks.
Manage the process for variation orders: prepare, negotiate, and document the changes; ensure appropriate approvals are obtained.
Schedule & Progress Monitoring
Track project progress relative to contract milestones, deliverables, timelines. Identify delays or deviations and help coordinate corrective actions.
Ensure contractors or suppliers adhere to timelines, and any extensions or delays are properly documented.
Cost Control & Payment Processing
Review and validate payment applications from contractors/subcontractors/suppliers, matching them against work completed, deliverables, contract terms, and milestones.
Monitor and manage retention amounts, variations affecting cost, cash flow, forecasting cost overruns.
Risk Management & Dispute Resolution
Identify contractual risks (legal, financial, scheduling, performance), and work proactively to mitigate them.
When disputes or potential claims arise (for example, delays, defects, scope disagreements), gather relevant information/documentation, liaise with legal counsel or relevant stakeholders, negotiate resolution.
Documentation & Record-Keeping
Maintain accurate, organized, version-controlled records of all contracts and related documents: correspondence, change orders, claims, insurance, warranties, submittals, meeting minutes.
Ensure that documentation is accessible for audits, reviews, or legal inspections.
Contract Close-out / Handover / Defects Liability
Oversee final stages of contract: ensure as-built drawings, operation & maintenance manuals, warranties, final inspections, defect rectifications are completed.
Issue or coordinate final payments, release retention monies, ensure contractors fulfill their liabilities during defects liability period.
Reporting & Performance Measurement
Generate regular reports for management on contract status: progress, upcoming milestones, financials, change orders, risks and issues.
Monitor performance metrics: how well contract terms are being met, use of resources, schedule adherence, quality, cost control.
Qualifications Summary for Contract Administrator
Education: Holds a B.Sc. degree (with at least 6 years’ relevant experience) or an M.Sc degree (with at least 5 years’ relevant experience) in Construction Management, Civil Engineering, or a closely related discipline
Demonstrated track record in contract administration within the construction sector
In-depth knowledge of construction contract standards, legal and regulatory frameworks, contract law, risk mitigation, and processes for handling variations and change orders
Skilled at interpreting and analyzing construction drawings, specifications, and scopes of work
Excellent organizational, verbal and written communication, negotiation, and analytical skills
Proficient in Microsoft Office (especially Word and Excel) and experienced with contract/document management systems or project control platforms
Meticulous attention to detail, ability to juggle multiple contracts/tasks concurrently, and committed to the highest levels of integrity and professionalism
